Personal Assistant / Administration Coordinator - Maternity Leave

The position will responsible for providing first point of contact for clients to engage the service, provide high quality customer service, daily support to the Youth Services Manager, wider youth team and our clients. It is expected that you will balance multiple tasks simultaneously, while providing a high level of service. This role requires a high level of interpersonal and organisational skills. You will be required to be pro-active, punctual, have a pleasant phone and personal manner, accurate typing ability (data entry), and familiarity with Word, Excel and Outlook is required.

The position functions under the supervision of the Youth Services Manager.

Essential Selection Criteria:

Interpersonal skills

  • Highly developed interpersonal skills
  • Highly developed written and verbal communication skills, with emphasis on written documentation and publications is essential
  • Event management experience
  • Communications must be culturally appropriate and tailored according to the Client’s needs
  • Good time management and organisational skills
  • Multi-tasking ability
  • Ability to work under pressure

 

Technical skills and knowledge

  • High level skills in Word, Excel, Access, Outlook and Internet Explorer.
  • Knowledge of computerised Client and reporting software
  • Competent in professional documentation, including the taking of meeting minutes, preparing high level correspondence and reports as requested.
  • A minimum typing speed of 60wpm with 90% accuracy

 

Management skills

  • Ability to multi‐task and work in a well organised manner, both independently and as part of a team.
  • The ability to prioritise work and make decisions regarding the day to day issues as directed
  • Ability to maintain high levels of privacy and confidentiality in regards to clients, staff and business matters

 

Appropriate qualifications or relevant industry experience

  • 2 years’ or more experience as a personal assistant or team assistant

Compliance

  • Successfully undertake a National Police Check
  • Working With Children Check
  • Working Rights in Australia
Desirable Selection Criteria:
  • Certificate 4 or Diploma in Business Administration or other relevant qualification/experience desirable.
  • Relevant NFP/ community sector experience is desirable.
Other Information:

You will be required to clear probity checks including National Criminal History Check, NSW Working With Children Check, hold a NSW Driver's License and have working rights in Australia.
