The Database Administrator/Data Analyst is a member of BGF’s Operations department, and has responsibility for:

  • Administration of BGF databases relating to Client Services, No Interest Loans Scheme (NILS), and Marketing and Fundraising;
  • To collect, analyse and report data to meet organisational needs;
  • Supporting the delivery of all internal and external  research initiatives and providing data analysis of results; and
  • Ongoing operational support for, and periodic reporting of BGF’s NILS program

Database Administration

  • Administration of BGF databases including the Client Relationship Management database (Enrite Care), the NILS database (finPOWER) and the Fundraising database (Raisers Edge);
  • Maintain database integrity and data security;
  • Ensure data is backed up daily, and restored when required;
  • Extract and validate live data sets as required;
  • Manage user access in conjunction with the IT Desktop Administrator;
  • Troubleshoot database issues and resolve;
  • Liaise with the IT Desktop Administrator and other stakeholders regarding database upgrades and design;
  • Update and train BGF employees on all changes to existing and new databases;
  • Participate in all discussions pertaining to database acquisition or upgrading of existing databases.


  • Co-design and analyse results of BGF’s annual client satisfaction survey;
  • Co-design and analyse results of BGF’s biennial employee engagement and satisfaction survey;
  • Co-design, distribute and analyse results of BGF’s quarterly policy assessment for employees ;
  • Draft executive summaries and detailed reports including graphical representation of findings of survey results for distribution to BGF’s Leadership Team, BGF’s Board and committees;
  • Extract data, analyse and deliver reports to Managers and employees as requested;
  • Proved data for quarterly KPI reporting to NSW Health or as required from time to time;
  • Liaise with the BGF Donor Relations Coordinator to mine the donor database to gain insights into donor profiles and trends etc.;
  • Support the Compliance, Research and Operations Manager with any external research projects as required



  • Build a strong relationship with Good Shepherd Microfinance (GSM), the governing body of NILS;
  • Keep up to date with changes in the NILS network and represent BGF in all discussions with GSM;
  • Report the progress of the BGF NILS program to GSM as required by GSM;
  • Report to the BGF Committee of Management monthly
  • Update NILS policies and procedures as determined by GSM;
  • Train BGF NILS microfinance workers on policy and procedures, or any changes thereto;
  • Loan administration duties e.g. checking/following up missed payments
  • Assess loan applications as required;
  • Set up client loans in NILS4 database including repayments;
  • Daily upload of client loan repayments to NILS4 database;
  • Client file management;
  • Data analysis
  • Monthly reconciliations of NILS database and bank;
  • Management of loan capital including reporting write offs and applying for extra capital as required;
  • Monitoring and reconciling the NILS capital account
  • Manage staff access to NILS program software and online accounts such as the Centrelink Business Portal in line with Centrelink requirements.

Other Responsibilities

  • Attend monthly staff meetings;
  • Perform all other reasonable duties as assigned by your Manager from time to time.

  • Permanent part-time opportunity (30.4 hours per week) based on a 78 hour working fortnight

About us

The Bobby Goldsmith Foundation (BGF) is Australia’s longest serving HIV charity, providing practical, emotional and financial support, financial counselling, community support  and empowerment programs to the most vulnerable people living disadvantaged by HIV in New South Wales and South Australia using a casework/case management/community support work model of care.

Position details

Ideally you will have experience in a similar position, possess outstanding interpersonal skills and have a broad knowledge of databases, both legacy systems as well as where future technology is headed.  You will also have undertaken statistical analysis and report writing in respect of research survey findings.

You will have high level numeracy skills, pay attention to detail, and be confident in dealing with staff at all levels up to and including the BGF Board. You will need to align with BGF’s values whilst being able to establish and maintain stakeholder relationships internally and externally.


Essential Selection Criteria:


  • Tertiary qualification with statistics and/or research majors 
  • Strong interpersonal relationship skills
  • High-level computing expertise in particular in programs such as Microsoft Excel, Microsoft Access, SharePoint and SQL databases
  • Strong understanding of the role databases play in business processes
  • Excellent written communication skills 
  • Attention to detail 
  • Highly numerate
  • Ability to conceptualise and deliver innovative and effective survey and assessment tools
  • Proven experience working within the NFP sector
  • Experience in database administration – 2 years min
  • Experience in data analysis – 2 years min

  • The salary for this position is up to $65,000 per annum plus superannuation of 9.5%., pro-rated.
